How long do we keep your personal data?

We keep data in accordance with Guide to Data Protection – Principle 5 Retaining Personal Data, we retain all records while you have on-going services with us, if you do not have any services with us your data may be held for a minimum period of 6 years for account purposes only.

Information Sharing

We only share personal information with other companies or individuals in the following limited circumstances:

• We have your consent
• Sharing the information with our subsidiaries, affiliated companies or other trusted businesses or persons for the purpose of processing personal information on our behalf. We require that these parties agree to process such information based on our instructions and in compliance with this Privacy Policy and any other appropriate confidentiality and security measures.
• We have a good faith belief that access, use, preservation or disclosure of such information is reasonably necessary to:
(a) satisfy any applicable law, regulation, legal process or enforceable governmental request,
(b) enforce applicable Terms of Service, including investigation of potential violations thereof,

• As permitted and described in the respective terms of service of each of our services and in the Shout Web Solutions Ltd Legal Agreements.

Information Sharing – Service Providers

We may transfer (or otherwise make available) your personal information to third parties that help us provide our services or provide services on our behalf. For example, we may use service providers to authorize and process payments, administer surveys, or run promotions. Your personal information may be maintained and processed by our third party service providers in the United States or in other jurisdictions. Working hard to support you is more than our job. It’s who we are and part of our core values. We strive to ensure a high level of continuity through out all our the services we provide to make sure things run as smoothly as possible for you.

While we cant guarantee our services will always be online, hardware wont break, software wont develop bugs: What we can guarantee is that if something goes wrong we rise to the occasion to take action and resolve the issue in the most efficient method to get you back online.

To allow us to support you fully, we share access to our providers and grant the following types of access to allow our provider access to for support only, this includes:

– Access to your Emails

Information Sharing – Billing and Accounts

We will retain your personal information for as long as is necessary to perform the purpose of which we collected it for, this includes but is not limited to any and all: Legal, Accounting and Reporting information.

We share you information with our Accountants to fulfil legal obligations only.

Information Sharing – Log Files

We use IP addresses to analyze trends, administer our site and servers, track access, and gather broad demographic information for aggregate use. IP addresses are not linked to personally identifiable information. However, it is possible that personal information about a customer may be included in the log files due to the normal functions of IP addresses and Web browsing.

Information Sharing – Domain Registration

In certain jurisdictions or pursuant to the rules of the Internet Corporation for Assigned Names and Numbers (“ICANN”) or certain registries, the contact information you provide to register a domain name (“Domain Name Registration Information”) has to be made available and accessible to the public through a “WHOIS” search. The WHOIS database is a publicly accessible database that lists the Domain Name Registration Information for a particular domain name, the name server(s) to which the domain name points, and the domain name’s creation and expiration date. The Domain Name Registration Information you provide is hosted by us or a third party service provider and is made available to the public through WHOIS searches. At times, customers may receive solicitations that result from searches of the publicly available WHOIS database by other companies or individuals. Any such solicitations or SPAM do not come from us and we do not control the use of WHOIS information by third parties. Further, pursuant to ICANN rules, we are required to make WHOIS data available to any third party that enters into a bulk access agreement. While ICANN allows individuals to opt-out (using the account management panel, domain management console or similar service) of having their WHOIS information made available to third parties through bulk access, companies, such as ours, businesses, and other organizations do not have the ability to opt-out of having their information made available to a third party that enters a bulk access agreement. We may also deposit your Domain Name Registration Information with a third-party escrow provider to comply with ICANN requirements.

Information Sharing – Project Management

We use a variety of tools to manage your project throughout its life with us, this includes relaying your information onto Third Party Software for internal use only, these include: Trello, Slack, Google Drive, One Drive, Dropbox. Information Sharing – Social Media

This website does include social media sharing buttons to 3rd party sites such as Facebook, Twitter, Google+ and LinkedIn, which may set 3rd party cookies. Please refer to these sites’ individual privacy policies for further information.

Google Analytics

We use Google Analytics to collect information about visitor behaviour on our website. Google Analytics stores information about which pages you visit, how long you are on the site, how you got here and what you click on. This Analytics data is not tied to personally identifiable information. We therefore do not collect or store your personal information (e.g. your name or address) so this information cannot be used to identify who you are.

• Our analytics service provider generates statistical and other information about website use by means of cookies.

• The information generated relating to our website is used to create reports about the use of our website.

No-Spam Policy

We have a strict No-Spam Policy prohibiting the use of any data collected to send spam. We will not sell any contact information to third parties.

Further processing

Website Security

We use the Secure Sockets Layer (SSL) protocol, which encrypts any personal information you enter into registration forms on the Application. The encryption process protects your information, by scrambling it before it is sent to us from your computer. We also make commercially reasonable effort to ensure the security of your personal information on our system. Unfortunately, no data transmission over the Internet can be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot warrant the security of any information you transmit to us.

International Transfers

Due to the nature of our business, at times your data will be transferred outside of the European Economic Area (EEA) for the purpose of: Email Services, Technical Support and Backup Services.
